1. Navigate to the Home tab on the primary menu.

2. Under Private group telephone call click Create.

3. Within Session Details, you can now define your session by completing all the available sections:

  1. Session title - this is the description of the session i.e. Gardening Chat

  2. Date - this is in a DD/MM/YYYY format and is chosen by clicking the calendar icon. The default date will always be today.

  3. Start time - this is a dropdown menu in a 24hr clock format and the default time will always be to start on the next hour.

  4. Duration - this is a dropdown menu where you can select session lengths from 15 minutes to 3 hours, in 15 minute increments.

  5. Frequency - this is a dropdown menu consisting of:

    • Single session - this will be the only session

    • Every week - this will be the same day every week

    • Every 2 weeks - this will be the same day in 2 weeks time

    • Every 3 weeks - this will be the same day in 3 weeks time

    • Every 4 weeks - this will be the same day in 4 weeks time

    • Every month - this will be the chosen date every month

4. Once the session information has been inputted, navigate to Facilitators, and click Add a facilitator.

5. You will be able to pick from a list of team members that have been given this role and can attach them to the session by clicking Add. Repeat this until you have added all required Facilitators to the session.

6. Under Service Users, click to add the required service users to the call.

8. Once selected, you are asked to choose how they will join the call from the following options:

  • The facilitator will initiate a call via the dashboard

  • They will dial 0300 373 0965 at the start time.

  • The dashboard will call the guest automatically at the scheduled start time

Once you have selected the joining method, click Add. Repeat this until you have added all required guests to the session.

8. Once selected, you are asked to choose how they will join the call from the following options:
